Start with the calls your team already understands
The best first workflow is usually unanswered calls, after-hours coverage, or overflow when the office is busy. Those calls tend to follow a recognizable path:
- identify the caller and service address;
- understand the broad issue and when it started;
- check for an urgent safety or active-water trigger;
- capture the preferred timing and best callback details; and
- route the request with a clear summary.
That workflow creates useful structure without asking the receptionist to diagnose a leak, promise a price, or invent availability.
Put hard boundaries around emergencies
Plumbing intake should distinguish between a routine request and a situation that needs immediate human direction. If the page explains what happens after an overflow call, the caller knows what to expect before they dial.
